2026 Ecotrak Roadmap: New Functionality and Upcoming Enhancements
Just as facilities management professionals are committed to always improving their operations, the Ecotrak team is committed to continuously advancing our platform with new updates and releases.
Workflow Enhancements:
Work Order: Update Asset to Any Asset
Capture more accurate asset management data with work order editing. If a work order was created for the incorrect unit, update the work order with the correct asset, rather than cancelling and creating a new work order.
Work Order Follow Feature
“Follow” a work order, building a personal watch list of key items. Use your work order follow list to track high priority work orders, and unfollow records when you need to clean up your watch list.
Work Order: Select Any Service Provider Setting
Assign work orders to any service provider from your active service provider pool, regardless of location or trade-assigned vendors. This flexible functionality is a specific permission that can be assigned to certain users.
Work Orders: Bulk Update Enhancements
Bulk update internally-managed work orders, assigning projects, completing work statuses, or adding “invoice not required” status.
Refactor Advanced Filtering in Modules
Access advanced search parameters and easily save filters for future use across most modules, including invoices and proposals.
Setting: Hide “Invoice Not Required” from Service Providers
Activate a setting that prevents third-party vendors from setting a work order as “invoice not required”. This control mechanism helps prevent vendor mistakes and smoothes out AP processes.
Control: Cannot Assign Service Provider without Vendor ID
Ensure a vendor is set up correctly before they are sent to work at facilities by optionally requiring service providers to have a complete vendor profile and ID before a trade assignment. This control prevents downstream errors in the accounts payable process when invoices are sent.
Asset Enhancements:
Assets: Custom Fields
Create up to 10 custom fields within the assets module, tracking specific asset information like expiration dates, software versions, insurance information, and more.
Import Module: Assets
Easily create asset logs by directly importing manufacturer, model, and serial number data.
RMA Workflow: Asset Replacement
Built for IT teams managing electronic equipment for facilities, a Return Merchandise Authorization (RMA) workflow for work orders helps manage the repair and replace cycle for IT equipment. The RMA workflow can record availability and relevant information like shipping information for replacing equipment like laptops, audio, video equipment, servers, projectors, and more.
Asset Warranties: IT Equipment & Software
Leverage expanded warranty functionality to track software and electronic warranties at the asset level, similar to equipment manufacturer warranty. Users can set up multiple periods of extended coverage and log software types and other details.
Asset States: Available/Unavailable
Improve accuracy of what is operational at different facilities by logging status. When assets are temporarily out of service or unusable, generate accurate reporting to inform repair strategy.
Asset Hierarchy: Asset Sub Groups
Within asset records, add subgroups with specific, unique workflows, increasing granularity to asset tracking within the platform.
Location and General Enhancements
Locations: Custom Fields
Add up to 10 custom fields within the locations module, tracking details like alarm codes for the facility, property information, and priority location contacts.
Preventive Maintenance (PM) at a Location
On the location level, the new Preventive Maintenance tab shows the PM schedule set up for that specific location. The schedule can be easily reviewed and updated.
In-App Notifications
Stay on top of updates with Ecotrak’s updated Notifications Center, easily searching, filtering by module, and flagging notifications on both web and mobile. You can also navigate notification records to add quick replies or see full case histories.
Custom Dashboards
Build custom dashboards for different user groups in your organization.
Tundra FMP Parts Ordering
With a Tundra FMP integration, Ecotrak supports a new way to order parts seamlessly through the platform.
Upload Multiple Attachments
To save your team time within the Ecotrak platform, users can now upload multiple attachments at once, such as images/videos of issues in the field, or documents for service provider invoices.
Ecotrak Pay
Ecotrak now offers a payment option within the platform, providing more options on how vendor payments can be managed within the system. Payment statuses and transactions can be tracked alongside the invoice, supporting faster payments for vendors and more efficient processes for internal accounting teams.
AI Initiatives
In 2025, customers asked the Ecotrak team: what is the strategy for adding AI into the platform? The below infographic summarizes Ecotrak’s AI Philosophy, outlining the different data sources, automation tools in development, and action-oriented goals for the business intelligence. Our philosophy is to provide automation and insights that can drive meaningful operational changes, and embed these tools everywhere in the platform.

Proposal Insights
This tool uses active proposals to benchmark data across the entire platform, showing regional and national comparisons to help inform decision-making for proposals and invoices.
Predictive: Failures, Time to Fix, and Cost
This predictive tool is the first step in providing insights to inform action, and it’s currently in testing mode with customers. When a specific service request is recorded, this iteration of the tool will predict what part is failing, the cost, and the estimated downtime. Adding better visibility and insight, the model will continue to learn and improve over time.
AI Coming Soon
Other AI tools for the Ecotrak platform are currently in development, focused on practical ways to inform decisions and turn insights into actions.
AI Insights: Assets
An asset module dashboard will summarize what matters most for your operations, highlighting risks and cost opportunities such as recoverable costs from warrantied repairs or upcoming warranty end dates.
AI Insights: Locations
A location-level dashboard will complete reviews to highlight location-level anomalies in data, such as missed PM coverage, increased trade assignments, and budget spikes or decreases.
AI Image Recognition
Pulling from different AI engines, image recognition technology enhancements will support functionality like pulling asset data information from equipment nameplates, provisioning invoices or proposals, or summarizing contracts like insurance documents.
Ema: Next Phase
Ecotrak already introduced Ecotrak Machine learning and Artificial intelligence (EMA) in 2025. Looking forward, Ema will support more insights in every part of the platform, providing actionable information about proposals, locations, vendors, and work orders.
Embedded GPT Everywhere
In addition to individual tools, GPT will be embedded throughout the entire platform, on both web and mobile applications.
